When you submit a form, we also collect technical request metadata supplied by Cloudflare, including your IP address, approximate location, network information, browser details and submission time, to protect the form from abuse and help us respond appropriately.
2. Use of Third-Party Tools and Infrastructure
To provide, host and secure our services, we utilise specialised third-party infrastructure. Your data may be processed and stored using the following tools:
- Cloudflare: Our website is hosted and secured by Cloudflare. Cloudflare may process technical data, such as IP addresses and device information, to protect our site from unauthorised access, mitigate malicious activity and optimise performance. We may also use Cloudflare Turnstile, a bot-detection service, on forms. Turnstile collects client-side signals including your IP address, TLS fingerprint and user agent to distinguish human visitors from automated bots. - Slack: Website form submissions may be transmitted to and stored within our secure Slack workspace for internal review and action.
- Google Workspace: We use Google Workspace for email correspondence, document management and internal record-keeping.
- Generative AI tools, including Gemini, Claude and ChatGPT: We use these tools to assist with data analysis, content drafting and internal workflows. We take reasonable steps to ensure that personal or sensitive information is anonymised or removed from inputs before being processed by these third-party platforms.
- Analytics tools: We may use tools such as Google Analytics and Microsoft Clarity to collect statistical, non-identifying metadata about website visits so we can analyse and improve the user experience.
3. Storage and Security
We take all reasonable steps to protect personal information from loss, unauthorised access or disclosure. By utilising enterprise-grade platforms such as Cloudflare, Google and Slack, we leverage their security protocols to protect your data.
4. Disclosure to Overseas Recipients
The service providers listed above may use overseas servers, primarily in the United States. We only disclose information to these recipients where we have reasonable grounds to believe they provide privacy protections comparable to the New Zealand Privacy Act 2020.
5. Retention of Information
We do not keep personal information for longer than is required for its lawful purpose. Certain records may be retained for longer periods where mandated by New Zealand law, such as the Tax Administration Act or the Companies Act.
6. Your Rights: Access and Correction
You have the right to request confirmation of whether we hold personal information about you and to access that information. You also have the right to request a correction to your personal information.
If we decline a correction request, you are entitled to request that a Statement of Correction be attached to the information to reflect your view.
